As the semester comes to a close, it is very important for you to work with the staff to ensure a smooth check-out process. There will be deadlines, flyers, emails, and other important messages sent out regarding the closing procedures of the residence halls. Check-out cell phone contacts will also be listed.

May 2025 CHECK OUT & CLOSING

The residence halls will close for the Spring 2025 Semester at 5:00 PM May 9th. Residents should plan to move out of their spaces 24 hrs after their last exam. 

GRADUATING SENIORS & EXTENDED STAYS

Graduating seniors, and other students involved in the graduation ceremony, are granted an extension to check out. All students involved in graduation must checkout by May 10th at 12 PM.

Other students in need of an extension must submit a Late Stay Form via Artemis by May 6th at noon. This form will open on April 4th. Your CRL will approve or deny your request, and update you via email within 2 business days (Monday – Friday between the hours of 9 AM – 5 PM).

How do i Check Out?

Move Out (Starting May 1st)
  • Starting May 1st at 7 PM, Checkout appointments will occur in hall from 8:00 AM – 11:30 PM. Residents must be checked out by May 9th at 5 PM.
  • If you need to checkout between 7:00PM- 11:30PM, you will call the RA on Duty.
  • We ask that you do not checkout between 11:30PM-8:00AM.

If you plan to leave beginning at 7:00pm May 1st, you will check out with your building staff. Instructions will be emailed to you and located on bulletin boards around the building on how to schedule a check out appointment, and where the checkout desk will be located.

To get specific information about your halls closing procedures do the following:

  1. Attend a closing floor meeting between March 31- April 11
  2. Be on the lookout from email communication from your buildings CRL
  3. Find your closing bulletin board which will be posted by April 18th
Moving out Early (Before May 1st)

If you plan to leave before May 1st at 7:00pm, you must return your room key at the Housing and Residence Life Office at Ragsdale-Mendenhall.

  • Moving out between 8:00 AM – 7:00 PM: you can drop off key inside of HRL.
  • If you arrive to HRL after 7:00 PM: you are responsible for dropping off the key in the black mailbox outside the HRL main office door.

Checkout Appointment

Prior to your Checkout Appointment

  • Dispose of all trash/recycling in the appropriate location.
    • Clean your entire bedroom/suite/apartment before your check-out.
      • Remove all dirt, tape, dust, pictures, etc. from:
        • Floors, Doors, Walls, Windows
        • Drawers, Beds, Desks, Closets
        • Bathroom
        • Kitchen
    • Move furniture back to its original location.
    • Ensure you have your spartan ID and room key with you.
    • Close and lock all windows and lower blinds.
    • Turn thermostat to 70 degrees

Your Checkout Appointment

  • Once you are ready to check out, you will meet an RA at the selected checkout station for your hall.
  • The RA will then go with you to your space to check your room for damage and cleanliness. Once the check is complete, turn off the lights, lock the door, and give your key to the RA.
  • Residents will not be permitted to re-enter the building once they return their key.

Important Closing Information and FAQs

During 24-hour quiet hours, noise levels should be kept to a minimum and contained within individual rooms. It is important to note that HRL is committed to providing a quiet atmosphere, conducive to studying. Noise violations will be taken seriously and students will be held accountable using the student conduct process.

As you move out of your room, please continue to practice safety precautions to keep the residence halls and students safe:

  • Remember to lock room doors when no one is in the room.
  • Don’t allow “tailgaters” into the hall unless you know that they live in the hall. (No one should be entering the halls without access, or escort)
  • Remember to lock car doors when moving your items out unless you have someone at your vehicle to monitor your belongings.
  • Call University Police immediately to report any suspicious behavior you observe in and around the residence halls.

Yes, HRL reserves the right to ask you to leave if you are violating policy.

Students graduating are allowed to stay in their Spring assignment until noon on the day after graduation. Likewise, students approved to participate in graduation (e.g. Marshall, University Chorus, etc) may also stay until noon on the day after graduation. Check with your CRL for more information on room inspection and returning your key.

The leasing company will be coordinating pickups for microfridges. If you have changed rooms, you need to let the company know.
